Upload or email your records

If you have a lot of records to submit at once, uploading a spreadsheet is much quicker than entering them one by one. There are two ways to do it.

Email a spreadsheet

Download our spreadsheet template, fill it in with your records, and email it to us.

Upload a CSV file

You can also upload records directly using our CSV upload tool. Most spreadsheet applications have a 'Save as CSV' or 'Export to CSV' option — use that to prepare your file.

Your file needs to follow the column structure in our CSV upload template. If your spreadsheet has extra columns beyond those in the template, you'll be prompted to match them during the upload process.

Species are matched using the scientific name column, so make sure these are filled in correctly. If any entries can't be matched, or if there are other issues with the file, the system will produce an error summary spreadsheet explaining what needs fixing.

A couple of things to be aware of: grid references must use the British National Grid (OSGB) format — for example, TM234567. Uploaded files can't be edited after submission, and there's no option to flag sensitive records through this route — for those, please use the recording form instead.
